How We Vet Tenants and Why It Matters for Your Investment

Finding the right tenant is one of the most important parts of protecting your rental property, but it is also one of the easiest places to make a mistake. At Houses and Then Some Rentals and Realty, tenant screening is not about judging people. It is about doing the work, verifying information, and paying attention to patterns.

It Starts Before the Application

The process starts well before anyone fills out an application. We make sure prospects understand the property, the neighborhood, and our expectations upfront, and we suggest for them to drive by the home first. That simple step helps everyone decide quickly if it is a fit, and if it is not, that is perfectly fine. We would rather know early. 

Once someone decides to move forward, every adult needs to submit a complete application, and complete really does mean complete, not a partial application. We require a valid ID, proof of income, rental history, and authorization for credit and background checks. Just as important as the documents themselves is how the application comes together. How quickly someone responds, whether they follow instructions, and how willing they are to provide what is requested without a lot of back and forth all tell a story, and that part matters more than most people realize.

We Verify Everything

The first thing we do is confirm identity. You would be surprised how often that does not line up.

From there, we review:

• Credit history

• Payment habits

• Rental and utility history

• Income stability

We are not looking for perfect people, because nobody is perfect. We are looking for patterns, and if someone is not paying their current bills on time, that usually does not change when they move into your property.

Getting it Right From the Start

Background checks are an important part of the process, but they are handled with care and perspective. We understand that most people have a few bumps along the way, and those alone are not what we focus on. Instead, we are looking for more serious issues that could create risk for the property or the surrounding community, and we take that responsibility seriously. 

Once all of the information is gathered, more than one member of our team reviews the file to make sure nothing is overlooked and that decisions are consistent and fair. If an applicant is approved, the process is just getting started. A full security deposit is submitted to secure the home, and we move into the lease, walkthrough, and clear expectations on both sides so everyone starts off on the right foot.

Why This Process Matters

There is no perfect system for predicting people, but there is a right way to approach it. As Robert often says, “You are not going to Amazon a good tenant into your house. You have to take the time to get it right.” When that time is taken, it protects cash flow, preserves the condition of the property, and supports long-term performance. It also creates a better experience for tenants by setting clear expectations and giving everyone a fair process from the start.  We want to move quickly, but more than that we really want to get it right.
